Running 250 seats across client companies

A short operator’s guide to the Agency plan: what it includes, how one shared seat pool works across separate client workspaces, and the order to set it up in. The full walkthrough, with screenshots, lives in the guides — this is the map before you open it.

The short answer

Agency is $1,199 once for 250 seats and adds the one thing the other plans do not have: separate client workspaces. Each client gets its own people, its own branding and its own domain, sealed off from your other clients — and you see counts across all of them, never their contact records.

One thing to get straight before anything else: Agency is not an AppSumo tier. The listing sells Solo, Team and Business. Agency is bought direct. If you are here because Business’s 50 seats stopped being enough, that is the upgrade — and the rest of this page is what you are buying.

What Agency adds over Business

Both carry a custom domain. The difference is whether your clients are separate organisations or just people on one team.

Solo and Team do not include a custom domain at all — only Business and Agency do, so never plan a client’s domain around the cheaper tiers. Agency’s domains carry a fair-use ceiling of 50 across the whole agency. These are nexalink.co one-time list prices; the AppSumo listing prices its own three tiers separately. All prices in USD. How the shared seat pool works

This is the part people get wrong, and getting it right changes how you sell.

One pool, not per client

You bought 250 seats for the agency, not licences per client. Allocate 40 to one, 15 to another, and move them as your book changes.

Creating a client costs zero

Workspaces are free. Seats are consumed only when a person actually joins — so you can build and brand a pitch-ready workspace before spending anything.

Allocating is not spending

An allocation is a ceiling, not a withdrawal. An invite that is never accepted does not permanently hold a seat, and reclaiming an unused allocation returns it to the pool.

And the separation is real

A user inside one client cannot see another client’s people, cards or contacts. You see counts — seated users, cards live, card views, contact totals — but never the contact records themselves. Leads captured by a client’s cards stay in that client’s workspace. That is the sentence that makes this model sellable to a client’s legal team.

The setup order

Ten steps, about twenty minutes of clicking plus DNS propagation. Do them in order — each assumes the one before it. Step 5 is deliberately a batch: most agencies do not control their clients’ DNS, and drip-feeding records means a separate ticket every time.

Two DNS facts worth knowing before you start. Card domains must be a subdomain — a bare domain is rejected, so put cards. in front. And a CNAME on its own is not enough: an outstanding TXT ownership challenge fails quietly, no certificate is issued, and the domain simply does not load. What white-label covers, and what it does not

White-label applies to the web experience — which is the part your clients’ prospects actually see.

  • Your agency name and logo throughout the console
  • Invite emails sent from your own verified sender domain

Not built — stated plainly

  • White-labelled mobile apps. Your clients download NexaLink from the App Store or Play Store and sign in there, on every plan.
  • The console on your own domain. Their cards are on their domain today; they still sign in at nexalink.co.
  • Extra agency admins. You are the sole agency administrator — colleagues who co-manage specific clients are planned, not shipped.
  • A shared template library. Branding is set per client today.

If your clients only ever share a card link or QR code, they and their prospects stay entirely inside your brand. The app is optional, and mainly useful for scanning cards on the move.

Do client workspaces use up seats?

No. Creating a client costs zero seats. Seats are consumed only when people actually join, and an invite that is never accepted does not permanently hold one. That means you can set up every client's workspace, branding and domain before a single seat is spent.

Are seats tied to a specific client?

No. You buy one pool for the agency — 250 seats on Agency — and allocate from it. Give 40 to one client and 15 to another, then move them as your book changes. Allocating is not spending; only a person joining spends a seat.

Can one client see another client's people or contacts?

No. Client workspaces are sealed from each other, and you as the agency see counts, never contact records. Leads captured by a client's cards stay in that client's workspace. That separation is what makes the model safe to sell to clients in the first place.

Does each client get their own domain?

Yes. Each client's cards can live on a subdomain of their own domain, such as cards.theirdomain.com, with your agency's invite emails sent from your verified sender domain. There is a fair-use ceiling of 50 domains across the agency; email support if you need it raised.

Are the mobile apps white-labelled on Agency?

No — the apps stay NexaLink-branded on every plan, Agency included. White-label covers the web experience your clients' prospects actually see: their cards on their domain with no NexaLink branding, your agency name throughout the console, and invite emails from your own domain. The app is optional and mainly useful for scanning cards on the move.

How long does the setup take?
