NexaLink CRM keeps you on top of your relationships with smart reminders and timely notifications. The AI learns your patterns and nudges you at the right time, while you retain full control over what you receive and when.
Smart Reminders
Smart reminders are AI-generated prompts to follow up with contacts based on your relationship patterns.
How Smart Reminders Work
The AI analyzes:
- Your communication cadence: If you typically email a contact every 2 weeks, the AI reminds you around that interval
- Relationship score trends: If a contact's score is declining, the AI surfaces them sooner
- Context signals: Recent events, upcoming meetings, or notes with action items trigger timely reminders
- Priority level: Favorites and high-priority contacts generate reminders more frequently
Smart Reminder Examples
- "You usually check in with Sarah every 2 weeks. It has been 18 days."
- "David mentioned a product launch in March. It is March now -- might be a good time to reach out."
- "3 contacts from CES-2026 have not received a follow-up yet."
Acting on Smart Reminders
When a smart reminder appears:
- Follow Up Now: Opens the contact with a draft message ready
- Snooze: Postpone for 1 day, 3 days, or 1 week
- Dismiss: Remove this reminder; the contact will surface again later naturally
- Mark Complete: Log that you already followed up outside the app
Manual Reminders
Set your own reminders for specific dates and times.
Creating a Manual Reminder
- Open any contact profile
- Tap Set Reminder (bell icon)
- Choose date and time
- Add an optional note (e.g., "Call about partnership proposal")
- Set recurrence if needed:
- One-time: Fires once and clears
- Weekly: Same day and time each week
- Bi-weekly: Every two weeks
- Monthly: Same date each month
- Quarterly: Every three months
- Tap Save
Managing Manual Reminders
Go to Notifications > Reminders to see all upcoming reminders:
- View reminders sorted by date
- Edit or delete individual reminders
- Filter by contact or date range
- Bulk delete completed reminders
Notification Types
NexaLink CRM sends several types of notifications:
Follow-Up Due
- Trigger: A smart or manual reminder becomes due
- Content: Contact name, reason for follow-up, suggested action
- Action: Tap to open the contact and begin follow-up
Contact Going Cold
- Trigger: A contact's relationship score drops below 30
- Content: Contact name, days since last interaction, score trend
- Action: Tap to view the contact and decide whether to reach out or let it rest
Event Contacts
- Trigger: You scanned contacts at an event and have not followed up within 48 hours
- Content: Number of uncontacted event contacts, event name
- Action: Tap to view the event contact list
Morning Brief
- Trigger: Daily at your configured time (default: 8:00 AM)
- Content: Summary of today's priorities including contacts due for follow-up, reminders, contacts going cold, and new contacts from the scanner
- Action: Tap to open the opportunity feed
Weekly Digest
- Trigger: Weekly on Monday (configurable)
- Delivered via: Push notification and email
- Content: Week-in-review summary including new contacts added, follow-ups completed, contacts that went cold, relationship score changes, and upcoming reminders
Notification Settings
Customize your notification experience in Settings > Notifications.
Frequency
Choose your overall notification volume:

Quiet Hours
Set times when notifications are silenced:
- Go to Settings > Notifications > Quiet Hours
- Toggle on Enable Quiet Hours
- Set start time (e.g., 9:00 PM)
- Set end time (e.g., 7:00 AM)
- Notifications received during quiet hours are queued and delivered when quiet hours end
Per-Type Controls
Toggle individual notification types on or off:
- Follow-up due: On/Off
- Contact going cold: On/Off
- Event contacts: On/Off
- Morning brief: On/Off
- Weekly digest: On/Off
- AI suggestions: On/Off
Channel Preferences
Choose where notifications are delivered:
- Push notifications: Real-time alerts on your device
- Email: For morning brief and weekly digest
- In-app only: Notifications appear only when you open the app
Morning Brief
The Morning Brief is a daily summary designed to be reviewed in under 2 minutes.
What It Includes
- Priority follow-ups: Top 3-5 contacts that need attention today
- Today's reminders: Any manual reminders set for today
- Going cold alerts: Contacts whose scores dropped significantly
- New contacts: Any contacts added since yesterday (from scanner, import, or manual)
- Quick stat: Your network health score trend (improving, stable, declining)
Configuring the Morning Brief
- Go to Settings > Notifications > Morning Brief
- Toggle on/off
- Set delivery time (default: 8:00 AM local time)
- Choose days: Weekdays only or every day
Acting on the Morning Brief
Tap any item in the brief to jump directly to that contact or action. The brief stays accessible in Notifications > Today's Brief throughout the day.
Weekly Digest
The Weekly Digest provides a higher-level view of your networking activity.
What It Includes
- New contacts: Total added this week, broken down by source
- Follow-ups completed: How many AI suggestions you acted on
- Response rate: Percentage of your outreach that received replies
- Score movers: Contacts with the biggest score changes (up and down)
- Upcoming week: Preview of reminders and suggested follow-ups for next week
Delivery
- Push notification: Summary card with key stats
- Email: Detailed digest with charts and contact highlights
- Delivered every Monday at 9:00 AM (configurable in Settings)
Tips for Effective Reminders
- Let the AI lead: Start with smart reminders before setting manual ones. The AI often surfaces the right contacts at the right time.
- Use morning brief as a daily habit: Check it with your morning coffee to plan your networking for the day.
- Set recurring reminders for key contacts: For your most important relationships, a monthly check-in reminder ensures you never lose touch.
- Snooze, do not dismiss: If you cannot follow up right now, snooze instead of dismissing. Dismissed suggestions take longer to resurface.
- Review the weekly digest: Use it to spot patterns. If many contacts are going cold, you may need to increase your outreach frequency.
FAQ
Q: Can I turn off all AI-generated reminders and only use manual ones?
A: Yes. Go to Settings > AI Features > Smart Reminders and toggle off. Manual reminders continue working independently.
Q: Do reminders fire if the app is closed?
A: Yes, as long as push notifications are enabled in your device settings. The app does not need to be open.
Q: Can I set a reminder for a contact I have not added yet?
A: No. Reminders are attached to existing contacts. Add the contact first, then set the reminder.
Q: How do I stop the weekly digest email?
A: Go to Settings > Notifications > Weekly Digest and toggle off the email delivery. You can keep the push notification version if you prefer.
Q: Will I get notified about every contact that goes cold?
A: No. The AI prioritizes contacts based on your favorites, tags, and interaction history. Low-priority contacts that go cold may not generate a notification unless they were previously active.
