CRM App - Integrations

NexaLink CRM becomes more powerful when connected to the tools you already use. Integrations bring in contact data automatically, track interactions across channels, and keep your network information unified.


Gmail Integration

Available on Pro and Premium plans.

Connecting Your Gmail Account

  1. Go to Settings > Integrations > Gmail
  2. Tap Connect Gmail
  3. Sign in with your Google account
  4. Grant the requested permissions:
    • Read email messages and metadata
    • Read contact information
  5. Tap Allow

What Gmail Integration Does

Auto-Discover Contacts

  • The CRM scans your recent email history (last 90 days) to identify contacts you communicate with
  • Discovered contacts appear as suggestions: review and add the ones you want
  • New email contacts are surfaced on an ongoing basis

Track Email Interactions

  • Sent and received emails are logged as interactions on contact profiles
  • The AI uses email data to calculate relationship scores and suggest follow-ups
  • Email timestamps help the AI understand your communication cadence

Track Replies

  • When a contact replies to your follow-up, the CRM logs it automatically
  • Reply tracking improves follow-up suggestions: the AI learns which contacts are responsive
  • You see a "Replied" badge on contacts who responded recently

Gmail Privacy

  • NexaLink only reads email metadata and content for contacts in your CRM
  • Email data is processed securely and never shared
  • You can disconnect Gmail at any time; all synced data is removed
  • No emails are sent on your behalf without explicit action

LinkedIn Integration

Available on Premium plan.

Connecting LinkedIn

  1. Go to Settings > Integrations > LinkedIn
  2. Tap Connect LinkedIn
  3. Sign in to your LinkedIn account
  4. Authorize NexaLink to access your profile and connections

Sync Connections

  • Your LinkedIn connections are imported as contact suggestions
  • Each imported contact includes: name, headline, company, profile photo, and LinkedIn URL
  • Connections are matched against existing CRM contacts to avoid duplicates

Import Profile Data

  • For contacts already in your CRM, LinkedIn data enriches their profiles
  • Fields updated: job title, company, profile photo, headline
  • Profile updates are detected and flagged (e.g., "Sarah Chen changed jobs: now VP at Acme Corp")

LinkedIn Activity

  • Connection requests you send and accept are logged as interactions
  • Profile views are not tracked (LinkedIn does not share this data)
  • The AI uses LinkedIn data to suggest relevant follow-ups (e.g., congratulating someone on a new role)

Scanner Sync

How It Works

When you use NexaLink Scanner and NexaLink CRM with the same account, contacts sync automatically.

Sync Details

  • Direction: Two-way sync. Changes in either app reflect in the other.
  • Timing: New scans appear in the CRM within seconds
  • Fields synced: All contact fields, tags, notes, voice notes, and scan images
  • Source tracking: Scanner contacts show a "Scanner" source badge in the CRM
  • Event tags: Event tags from Conference Mode carry over, enabling CRM event dashboards

Setting Up Scanner Sync

If both apps use the same account, sync is automatic. No configuration needed.

If you created separate accounts:

  1. Open NexaLink CRM
  2. Go to Settings > Integrations > NexaLink Scanner
  3. Tap Link Account
  4. Sign in with your Scanner credentials
  5. Existing scanner contacts sync immediately

Sync Status

Check sync status in Settings > Integrations > NexaLink Scanner:

  • Last synced: Timestamp of most recent sync
  • Contacts synced: Total count
  • Pending: Number of contacts waiting to sync (usually 0)

Card App Sync

NexaLink Card (the digital business card app) shares a unified contact database with CRM.

Shared Contact Database

  • Contacts you add in CRM appear in the Card app and vice versa
  • When someone saves your digital card, they appear as a new contact in your CRM
  • The CRM tracks when your digital card is viewed or saved by others

Unified Profile

Each contact has a single profile across all NexaLink apps:

  • Scanner: Adds scanned card data and images
  • CRM: Adds relationship scores, notes, and AI insights
  • Card: Adds digital card exchange data and analytics

All three data sources merge into one comprehensive contact profile.

Interaction Tracking

  • Card views and saves are logged as interactions in the CRM
  • The AI considers card exchanges when calculating relationship scores
  • You receive a notification when a new person saves your digital card

Export

CSV Export

  1. Go to Settings > Export > CSV
  2. Choose scope:
    • All contacts: Export your entire database
    • Filtered: Apply filters first (tags, source, date) then export the filtered set
    • Selected: Select specific contacts from the list
  3. Choose fields to include (all fields selected by default)
  4. Tap Export
  5. The CSV file is generated and can be saved to your device, shared via email, or uploaded to cloud storage

vCard Batch Export

  1. Go to Settings > Export > vCard
  2. Choose scope (same options as CSV)
  3. Tap Export
  4. A single .vcf file containing all selected contacts is generated
  5. Import this file into any address book (Google Contacts, Outlook, Apple Contacts)

Export Format Details

CSV columns: first_name, last_name, email, phone, mobile, company, title, website, linkedin, tags, notes, how_we_met, relationship_score, source, date_added

vCard format: Standard vCard 3.0 compatible with all major address book applications.


Data Portability

NexaLink is committed to your data ownership.

Export All Data

  1. Go to Settings > Data > Export All
  2. Tap Request Export
  3. A comprehensive export is prepared including:
    • All contacts (CSV and vCard formats)
    • All notes and voice note transcriptions
    • All tags and categories
    • Interaction history
    • Reminder history
  4. You receive an email with a secure download link when the export is ready (typically within 1 hour)

Delete Account

  1. Go to Settings > Account > Delete Account
  2. Review the warning: all data will be permanently deleted
  3. Optionally download a final export before proceeding
  4. Enter your password to confirm
  5. Tap Delete My Account

After deletion:

  • All contact data is purged within 30 days
  • Connected integrations are disconnected immediately
  • Subscription is cancelled (refund per App Store/Google Play policies)
  • Your NexaLink Scanner and Card app accounts are also deleted if linked

Data Retention

  • Active accounts: Data retained indefinitely
  • Deleted accounts: Data purged within 30 days
  • Disconnected integrations: Synced data removed within 24 hours
  • Voice notes: Stored encrypted, deleted with account

Integration Troubleshooting

Gmail Not Syncing

  1. Check that Gmail is still connected: Settings > Integrations > Gmail
  2. Tap Reconnect if the status shows "Disconnected"
  3. Ensure you granted all required permissions
  4. Check your internet connection

LinkedIn Import Incomplete

  1. LinkedIn limits API access; not all connections may import on the first sync
  2. Wait 24 hours and check again; additional connections sync in batches
  3. If a specific contact is missing, add them manually and the LinkedIn data will enrich the profile

Scanner Contacts Not Appearing

  1. Verify both apps use the same account
  2. Check Settings > Integrations > NexaLink Scanner for sync status
  3. Open the Scanner app and verify the contact was saved (not just scanned)
  4. Pull to refresh on the CRM contacts list

FAQ

Q: Can I connect multiple Gmail accounts?
A: Currently, one Gmail account per CRM account is supported. Multi-account support is planned.

Q: Does disconnecting Gmail delete my contacts?
A: No. Contacts already in the CRM remain. Only the ongoing email tracking stops, and email interaction history is removed.

Q: Is my LinkedIn password stored by NexaLink?
A: No. NexaLink uses OAuth authentication. Your LinkedIn password is never seen or stored by NexaLink.

Q: Can I export contacts and import them into Salesforce or HubSpot?
A: Yes. The CSV export format is compatible with most CRM import tools. Export your contacts and use the target CRM's import wizard.

Q: What happens to my data if NexaLink shuts down?
A: NexaLink commits to providing at least 90 days notice and full data export capabilities before any service discontinuation.

Q: Can I selectively sync only certain scanner contacts to CRM?
A: Yes. In the Scanner app, go to Settings > CRM Sync and choose Manual Sync. You then select which contacts to push to the CRM.
