Locked brand templates · email signatures · central admin

Lock your brand across every employee card —
and manage it from one dashboard.

One locked template. Thousands of consistent cards. Employees edit their name and title — never the logo, the colors, or the layout.

NexaLink gives marketing and brand teams a real control plane for digital business cards: a master template you lock down, a central admin dashboard that governs every employee card, and — on Enterprise plans — auto-updating email signatures and on-brand virtual backgrounds rolled out across your whole organization.

Your brand erodes one card at a time

Give a thousand employees a free card app and you don't get a thousand brand ambassadors — you get a thousand small brand violations.

Rogue cards
Someone grabs last year's logo. Another picks a font that isn't yours. A third adds a personal tagline. Every one of them is handing your brand to a prospect — wrong.
Wrong logos and colors
Marketing ships a rebrand. Six months later half the company is still sharing cards with the old mark and the old hex codes. There is no way to force the update.
Stale titles and details
People change roles, offices move, the support line changes. Without central control, the card a prospect taps is whatever the employee last remembered to edit — often years out of date.
Email signatures are a manual nightmare
A signature "standard" lives in a doc nobody opens. Everyone copies it slightly wrong. Banner campaigns never reach 80% of inboxes. At scale, it is unmanageable by hand.

The fix isn't a brand-guidelines PDF nobody reads. It's software that makes the on-brand version the only version an employee can share — and lets one team govern it for the whole company.

How brand control works

Four steps from a master template to thousands of locked, consistent, instantly-updatable cards.

01
Build the master template
Set your logo, brand colors, typography, layout, and a custom domain on the card URL. This is your brand, encoded — the single source of truth every employee card inherits from.
02
Lock the essentials
Choose what employees can never touch: the logo, the palette, the layout, the legal footer. Lock it down once and it's enforced — no PDF guideline relying on goodwill.
03
Employees personalize only allowed fields
Name, title, direct line, headshot, the social links you permit — that's it. Every card stays unmistakably yours while still being personal to the individual.
04
Push a global update — instantly
Change the template once and every card updates at the same time. New logo, new tagline, a fresh campaign banner: organization-wide in a click, with zero version drift.
Live today

A central admin dashboard that governs every card

Brand control only matters if someone can see and steer the whole fleet from one place. The NexaLink admin dashboard is shipped and live today — it's where your brand and IT teams run the program.

See who has a card
A single roster of every employee card across the organization — provisioned, active, or pending. No guessing who's on the program and who slipped through on a personal account.
Lockable company brand template
The master template lives here. Lock elements, define which fields are editable, and govern the brand from one screen instead of policing it card by card.
Shared team directory
Every card rolls up into a searchable internal directory, so finding the right colleague — and their up-to-date, on-brand card — is instant across teams and regions.
Usage visibility
See which cards are active and shared so the brand program is measurable, not a hope. Pair it with deeper engagement data on the team analytics page.

Centrally managed, auto-updating email signatures

The card a prospect taps and the signature on every email your team sends are the same brand surface — and both should be governed centrally. On Enterprise plans, NexaLink deploys and auto-updates email signatures across your whole organization, configured for your domains during onboarding rather than left to a copy-paste document.

Deploy across Google Workspace & Microsoft 365
Push a consistent, on-brand signature to every mailbox in your domain, and update it everywhere at once — no per-person setup, no out-of-date copies floating around.
Group-based templates
Different signatures for Sales, Support, and Execs, mapped to your directory groups. Each team carries the right disclaimers, links, and CTAs while staying inside the same locked brand.
Banner campaigns
Run a product launch, an event invite, or an award banner across every employee's signature for a set window — then auto-retire it. Marketing finally owns the most-seen real estate in the company.
Auto-updating, not copy-paste
When the brand changes, signatures change with it automatically. No more chasing 2,000 people to update a footer they pasted wrong two years ago.

Signature management is delivered in enterprise onboarding and scoped on your demo — we build it against your domains, directory groups, and brand. Want a quick self-serve starting point first? Try our free email signature generator.

On-brand virtual backgrounds and extended brand surfaces

Your brand shows up in more places than a card. Every video call, every webinar, every external meeting is a brand moment — and right now it's a free-for-all of beach photos and blurred kitchens. On Enterprise plans, NexaLink can extend your locked brand system to on-brand virtual backgrounds and a shared library of brand assets, tailored to your guidelines and rolled out across the organization during onboarding.

Because these surfaces are governed by the same template and the same admin controls as your cards, a rebrand updates them together — the card, the signature, and the call background all stay in lockstep. We scope which surfaces you need on your demo and build the rollout against your signed plan.

Governance: locked where it matters, flexible where it should be

Brand control isn't about taking everything away from employees — it's about deciding, deliberately, what stays locked and who holds the keys.

Locked vs. editable fields
You define the boundary: logo, colors, layout, and legal footer locked; name, title, and direct line editable. Employees get a personal card; the brand never bends. This split is live today.
Role-based access to templates
Only authorized brand or IT admins can change a master template. Department managers can be scoped to manage just their slice. RBAC roles are configured for your org during enterprise onboarding — see how identity and roles are provisioned on the SSO page.
Audit trail
Template and brand changes are governed and auditable, so when the brand shifts you can see who changed what and when. The brand stays locked while the right people retain control.

Department and org-unit RBAC is mapped from your directory and built against your plan during onboarding. Read the full identity story on SSO & provisioning.

What's live today vs. built for you in onboarding

  • Central admin dashboard — who has a card, usage visibility, brand governance in one place.
  • Shared team directory — every on-brand card, searchable across the org.
  • Locked-vs-editable governance — define what stays locked and what employees can personalize.
Built for you in onboarding
  • Auto-updating email signatures — across Google Workspace and Microsoft 365, configured for your domains.
  • Group & department-based templates — Sales, Support, Execs, EMEA, NA — mapped from your directory.

  • Department & region targeting — built against your org structure alongside RBAC.
  • Role-based admin scopes — who can edit templates, who manages their slice.

The right column isn't a promise on a roadmap — it's how we deliver enterprise brand programs: scoped on your demo, built against your signed plan, and tailored to your directory, domains, and brand guidelines.

Why brand teams choose NexaLink

One locked brand, every surface
Card, email signature, and virtual background all inherit the same template. A rebrand updates them together — not three separate fire drills across three tools.
Built for your org, not a rigid toggle
Department templates, region variants, and RBAC are tailored to your structure during onboarding. You get a brand system that fits your company — not a one-size checkbox.
Governance you can prove
Locked elements, role-based access, and an audit trail mean you can show legal and leadership that the brand is enforced — by software, not by hopeful guidelines.

Brand management is one pillar of the NexaLink enterprise control plane. Explore the full platform on the enterprise hub, or see how teams are managed day-to-day with the team card manager.

Frequently asked questions

Can we lock the template so employees can't break the brand?
Yes — this is live today. You build a master template with your logo, colors, typography, layout, and a custom domain, then lock the essential elements. Employees can edit only the fields you allow, like their name, title, and direct line. No rogue cards, no off-brand colors, no stretched logos — the brand stays exactly as your design team approved it.
Can one admin push a brand update to everyone at once?
Yes. Change the locked template once in the admin dashboard and every employee card updates — no chasing people to re-save or re-download. New logo, new tagline, a rebrand, or a campaign banner: one change, organization-wide, with no version drift across thousands of cards.
Do you manage company email signatures too?
Yes — centrally managed, auto-updating email signatures across Google Workspace and Microsoft 365, with group-based templates (different for Sales, Support, and Execs) and banner campaigns. Signature management is available on Enterprise plans and configured for your domains during onboarding, so signatures stay current automatically instead of living in a forgotten document everyone copies wrong.
Can we have different templates per department or region?
Yes — group- and department-based templates are part of brand governance. The locked template and editable fields are shipped today; department and region targeting is mapped from your directory and built for your org during enterprise onboarding, alongside role-based access control. Sales in EMEA can carry one variant, Execs in NA another, all under the same locked brand system.
Who can change the master template?
Only authorized brand or IT admins, controlled by role-based access. Template changes are governed and audited so the brand stays locked while the right people retain control. RBAC scopes — who can edit templates, who can only manage their department — are configured during enterprise onboarding to match your org structure.
